From paper to progress: our digital transformation

Forests are disappearing at a rate of ten million hectares every year, while global paper production accounts for around 2% of industrial greenhouse gas emissions. Producing just one tonne of office paper can consume 24 trees and up to 20,000 litres of water. Add to that the chemicals used in bleaching, the transport of pulp and paper products and the CO₂ released during production, and the footprint is immense.
Offices, too, contribute heavily to this problem: businesses are estimated to use around 10,000 sheets of paper per employee every year, much of it discarded or left uncollected.
Facing all these numbers, at Softquo, we had to stop and reflect. We asked ourselves: what can we change right now, with the resources already in our hands?
The answer was clear - paper.
Goodbye paper, hello digital
Our digital transition started with the everyday tools that keep a company running. Today, all our corporate documents are stored in Google Drive, giving every employee secure, cloud-based access without a single printout.
Internal communication also went through a revolution. Instead of relying on printed circulars or office noticeboards, we now use S-team, a digital platform that centralises all company updates and messages. This means everyone stays informed in real time with zero waste.
Project management followed the same path. Favro allows us to coordinate projects, tasks and deadlines in one digital space, eliminating the need for sticky notes, printed agendas or endless status reports. Everything is tracked online, accessible to all and updated instantly.
Finally, one of the most paper-heavy areas of business - contracts - has gone fully digital. Thanks to ViaFirma, we now use certified electronic signatures that are legally binding and fully compliant. Agreements that once meant pages of printing and physical storage are now completed securely online, cutting paper out of the process altogether.
Efficiency & innovation meet sustainability
Our transformation went well beyond the office door. We thought of a way to help our clients move away from paper as well, In-shop Mobile. This solution replaces printed betting slips with digital ones managed directly on mobile devices inside retail shops. That means thousands of daily transactions carried out without consuming tons of printed tickets.
Surprisingly, the shift has also made us more efficient. Our teams no longer lose time managing physical files or printing endless updates. Information is shared instantly, securely and in a way that is accessible from anywhere in the world.
What’s good for the planet has turned out to be good for productivity and innovation too - a clear example of how sustainability, innovation and efficiency reinforce one another.
